Terms and Conditions of Participation (AGB)

Nordic Elevated: Golden Edition – Rovaniemi, Finnish Lapland, 30 September – 1 October 2026

  1. Scope and Organizer
    1.1 These Terms and Conditions (“Terms”) govern the participation of supplier partners (“Supplier”,
    “Participant”) in the in-person B2B event Nordic Elevated: Golden Edition (the “Event”), taking place
    at Halo Igloos, Rovaniemi, Finland, on 30 September – 1 October 2026.
    1.2 The Event is organized by Nordic Elevated by Sara Snäll, Rathausstr. 7, 10178 Berlin, Germany,
    VAT ID DE450747809 (the “Organizer”).
    1.3 By submitting a registration, the Participant accepts these Terms. Deviating terms of the
    Participant do not apply unless the Organizer has expressly agreed to them in writing.
  2. Registration and Conclusion of Contract
    2.1 Registration takes place via the official registration form. The registration constitutes a binding
    offer by the Participant to enter into a participation agreement.
    2.2 The contract is concluded only upon written confirmation of the registration by the Organizer (email sufficient). The Organizer curates the mix of participants and reserves the right to decline
    registrations to ensure a balanced and high-quality event; in that case no contract is concluded and
    no fees are due.
  3. Services of the Organizer
    3.1 The scope of services (participation package) is defined in the registration form and the
    confirmation. It typically includes pre-scheduled 1:1 meetings with international buyers,
    participation in the event programme, listing in the event catalogue, and catering during the official
    programme as specified.
    3.2 Travel to and from the Event, accommodation (unless expressly included in the booked package),
    visa matters and travel insurance are the responsibility of the Participant.
  4. Buyer Attendance
    4.1 The value of the Event depends on the attendance of invited international buyers. The Organizer
    will use its best efforts to secure the attendance of confirmed buyers, including through a hosted
    buyer model and no-show deposits.
    4.2 However, the Organizer cannot guarantee the attendance of any individual buyer and accepts no
    responsibility or liability for buyers who fail to attend, in whole or in part, for reasons outside the
    Organizer’s control, including but not limited to illness, missed or cancelled flights, or other personal
    or professional circumstances of the buyer.
    4.3 The number, identity or quality of attending buyers does not constitute a guaranteed
    characteristic of the Organizer’s services and does not entitle the Participant to a reduction of the
    participation fee, except as provided in section 12.
  5. Participation Fees
    5.1 The participation fees are set out in the registration form and the confirmation. All prices are net
    prices.
    5.2 For Participants domiciled in Germany, German VAT (Umsatzsteuer) at the statutory rate is
    added. For business Participants domiciled in other EU member states, the reverse charge
    mechanism applies (Steuerschuldnerschaft des Leistungsempfängers); the Participant must provide a
    valid VAT identification number and is responsible for accounting for VAT in its own member state.
    For business Participants domiciled outside the EU, the service is not subject to German VAT; any
    taxes arising in the Participant’s country are the responsibility of the Participant.
  6. Invoicing and Payment
    6.1 Invoices are issued by the Organizer after confirmation of the registration. Payment is due within
    14 days of the invoice date, without deduction, by bank transfer to the account stated on the invoice
    or via the online payment option (Stripe) provided by the Organizer.
    6.2 If the Participant is in default of payment, the Organizer may, after a reminder with a reasonable
    grace period, withhold the services (including the allocation of meeting slots) until payment is
    received, or withdraw from the contract.
  7. Cancellation by the Participant
    7.1 The Participant may cancel its participation free of charge in writing (e-mail sufficient) up to 30
    days before the first day of the Event, i.e. until 31 August 2026.
    7.2 In case of cancellation after this date, or in case of non-attendance (no-show), the full
    participation fee remains payable.
    7.3 The Participant may at any time, free of charge, replace its registered attendee(s) with other
    representatives of the same company, provided the change is communicated to the Organizer in
    writing (e-mail sufficient) before the start of the Event.
  8. Changes to the Programme
    8.1 The Organizer may make reasonable changes to the programme, the schedule, individual
    programme elements and the venue within Rovaniemi and its surroundings, provided the overall
    character and purpose of the Event are preserved. Such changes do not entitle the Participant to
    cancel or to a reduction of the fee.
  9. Photography and Video
    9.1 Photographs and video recordings will be made during the Event. The Organizer may use such
    material for documentation and marketing of the Event and future editions (including website, social
    media and printed materials).
    9.2 The Participant’s consent to appear in such material is requested in the registration form. If
    consent is not given for individual representatives, the Organizer will make reasonable efforts to
    exclude these persons from published material. No further declaration is required after registration;
    a given consent may be withdrawn at any time with effect for the future.
  10. Sharing of Participant Data
    10.1 The purpose of the Event is to connect Suppliers with buyers. The Organizer will therefore share
    the Participant’s company name, the name and role of its attending representative(s), and the
    business contact details provided for this purpose with registered buyers and other participants,
    before, during and after the Event, based on the Organizer’s legitimate interest in fulfilling the
    purpose of the Event.
    10.2 A Participant who objects to this data sharing must notify the Organizer in writing as early as
    possible. The Participant acknowledges that objecting may materially limit the value of its
    participation.
    10.3 Information on the processing of personal data is available from the Organizer upon request.
  11. Liability and Insurance
    11.1 Participation in the Event and in all activities offered in connection with it (including but not
    limited to outdoor and nature activities) is voluntary and takes place at the Participant’s own risk.
    Each attendee decides freely whether to take part in any individual activity.
    11.2 The Organizer’s responsibilities are limited to: (a) communicating the programme and any
    changes to it in a timely manner; and (b) exercising reasonable care in the planning and execution of
    the Event so that health and safety are maintained and no attendee is knowingly exposed to danger.
    11.3 The Organizer maintains event liability insurance. The venue maintains its own insurance for its
    premises and services. The Participant is expected to hold adequate insurance for its attendees,
    including travel, accident and liability insurance, and is responsible for its own exhibition materials,
    equipment and personal belongings brought to the Event.
    11.4 Beyond section 11.2, liability of the Organizer for damage occurring at the venue or during
    activities is excluded to the fullest extent permitted by law. This exclusion does not apply to damage
    caused intentionally or by gross negligence, to injury to life, body or health caused by a breach of
    duty by the Organizer, or to liability under mandatory statutory provisions.
    11.5 Services provided by third parties (including the venue, activity providers, transport and
    catering providers) are rendered under the sole responsibility of those third parties; the Organizer is
    not liable for their performance.
  12. Force Majeure and Cancellation of the Event
    12.1 The Organizer may cancel or postpone the Event if its proper execution becomes impossible or
    unreasonable due to circumstances outside the Organizer’s control, including but not limited to war,
    terrorism, natural disasters, epidemics or pandemics, official orders or travel restrictions, failure of
    essential infrastructure, or the cancellation of all or a substantial number of confirmed buyers for
    whatever reason, such that the Event can no longer fulfil its purpose.
    12.2 The viability of the Event further depends on a minimum number of confirmed buyers. If fewer
    than 20 buyers are confirmed by 8 September 2026, the Organizer reserves the right to cancel the
    Event in order to ensure that no Participant attends an event without an adequate buyer audience.
    In this case the Organizer will inform all Participants without undue delay and refund all participation
    fees already paid, in full.
    12.3 In the event of a cancellation under section 12.1, the Organizer will refund participation fees
    already paid on a best-effort basis, after deduction of costs that have been irrevocably incurred for
    the Event and cannot be recovered, so that the cancellation does not cause the Organizer
    unreasonable harm. The Organizer will document such costs on request.
    12.4 Further claims of the Participant — in particular for travel or accommodation costs already
    incurred, or for lost profit — are excluded to the extent permitted by law. Participants are therefore
    advised to book travel and accommodation with flexible or refundable conditions until the Event is
    finally confirmed by the Organizer.
  13. Final Provisions
    13.1 The law of the Federal Republic of Germany applies, excluding the UN Convention on Contracts
    for the International Sale of Goods (CISG).
    13.2 Place of jurisdiction for all disputes arising from or in connection with this contract is Berlin,
    Germany, provided the Participant is a merchant, a legal entity under public law or a special fund
    under public law, or has no general place of jurisdiction in Germany.
    13.3 Should individual provisions of these Terms be or become invalid, the validity of the remaining
    provisions remains unaffected.
    13.4 Amendments and side agreements must be made in writing; this also applies to a waiver of the
    written form requirement
