Terms and Conditions for Hosted Buyers (AGB)

Nordic Elevated: Golden Edition – Rovaniemi, Finnish Lapland, 30 September – 1 October 2026

  1. Scope and Organizer
    1.1 These Terms and Conditions (“Terms”) govern the participation of invited international buyers
    (“Buyer”, “Participant”) in the in-person B2B event Nordic Elevated: Golden Edition (the “Event”),
    taking place at Halo Igloos, Rovaniemi, Finland, on 30 September – 1 October 2026.
    1.2 The Event is organized by Nordic Elevated by Sara Snäll, Rathausstr. 7, 10178 Berlin, Germany,
    VAT ID DE450747809 (the “Organizer”).
    1.3 By submitting a registration, the Buyer accepts these Terms.
  2. Registration and Confirmation
    2.1 Participation as a hosted buyer is by invitation and application via the official registration form.
    The Organizer curates the mix of buyers and reserves the right to decline applications at its
    discretion; a place at the Event is confirmed only upon written confirmation by the Organizer (e-mail
    sufficient).
    2.2 The Buyer confirms that the registered attendee is a professional buyer (e.g. tour operator,
    travel agency, MICE or incentive agency) with genuine purchasing interest in Nordic travel products.
  3. Hosted Buyer Package — Included Services
    3.1 Participation in the Event is free of charge for confirmed hosted Buyers. The hosted buyer
    package includes: accommodation as allocated by the Organizer for the official Event nights; catering
    during the official Event programme; and group transfers as offered by the Organizer according to
    the official transfer schedule.
    3.2 Not included are, in particular: travel to and from Rovaniemi (unless expressly agreed otherwise
    in writing); additional food and drinks outside the official programme, including minibar, bar and
    other extra beverages; personal expenses; individual or additional transfers; and transfers on days or
    at times other than those offered in the official transfer schedule. Such costs are borne by the Buyer,
    and the Organizer accepts no liability or responsibility for arranging or covering them.
    3.3 Accommodation is allocated by the Organizer. Room category and location within the venue or
    partner accommodations may vary; specific room preferences cannot be guaranteed.
  4. Buyer Obligations
    4.1 In return for the hosted buyer package, the Buyer undertakes to attend the Event in person on
    both Event days, to participate in the pre-scheduled 1:1 meetings allocated through the
    matchmaking system, and to take part in the official programme.
    4.2 The meeting schedule is prepared before the Event based on the preferences of buyers and
    suppliers. The Buyer completes its matchmaking profile truthfully and by the communicated
    deadlines.
  5. Cancellation and No-Show Fee
    5.1 The Buyer may cancel its participation free of charge in writing (e-mail sufficient) up to 14 days
    before the first day of the Event, i.e. until 16 September 2026.
    5.2 In case of cancellation less than 14 days before the first day of the Event, or in case of non-
    attendance (no-show), the Organizer will charge the Buyer a no-show fee of EUR 200. The fee
    compensates the Organizer for accommodation, catering and organizational costs incurred for the
    Buyer and for the loss of pre-scheduled meetings suffered by supplier participants.
    5.3 No fee is charged if the cancellation is due to illness and the Buyer provides a medical certificate
    (doctor’s note) without undue delay, or if the Buyer nominates a suitable replacement attendee in
    accordance with section 5.4.
    5.4 The Buyer may at any time, free of charge, replace its registered attendee with another qualified
    representative of the same company, provided the change is communicated to the Organizer in
    writing (e-mail sufficient) before the start of the Event.
    5.5 The Organizer may require a valid credit card authorization at registration to secure the no-show
    fee. The card is charged only in the circumstances described in section 5.2.
  6. Changes to the Programme
    6.1 The Organizer may make reasonable changes to the programme, the schedule, individual
    programme elements, the allocated accommodation and the venue within Rovaniemi and its
    surroundings, provided the overall character and purpose of the Event are preserved.
  7. Photography and Video
    7.1 Photographs and video recordings will be made during the Event. The Organizer may use such
    material for documentation and marketing of the Event and future editions (including website, social
    media and printed materials).
    7.2 The Buyer’s consent to appear in such material is requested in the registration form. If consent is
    not given, the Organizer will make reasonable efforts to exclude the person concerned from
    published material. A given consent may be withdrawn at any time with effect for the future.
  8. Sharing of Participant Data
    8.1 The purpose of the Event is to connect Buyers with Nordic supplier partners. The Organizer will
    therefore share the Buyer’s company name, the name and role of its attending representative, and
    the business contact details provided for this purpose with registered suppliers and other
    participants, before, during and after the Event, based on the Organizer’s legitimate interest in
    fulfilling the purpose of the Event.
    8.2 A Buyer who objects to this data sharing must notify the Organizer in writing as early as possible.
    The Buyer acknowledges that objecting may materially limit the value of its participation.
    8.3 Information on the processing of personal data is available from the Organizer upon request.
  9. Liability and Insurance
    9.1 Participation in the Event and in all activities offered in connection with it (including but not
    limited to outdoor and nature activities) is voluntary and takes place at the Buyer’s own risk. Each
    attendee decides freely whether to take part in any individual activity.
    9.2 The Organizer’s responsibilities are limited to: (a) communicating the programme and any
    changes to it in a timely manner; and (b) exercising reasonable care in the planning and execution of
    the Event so that health and safety are maintained and no attendee is knowingly exposed to danger.
    9.3 The Organizer maintains event liability insurance. The venue maintains its own insurance for its
    premises and services. The Buyer is expected to hold adequate travel, accident and liability
    insurance for its attendee and is responsible for its own equipment and personal belongings brought
    to the Event.
    9.4 Beyond section 9.2, liability of the Organizer for damage occurring at the venue or during
    activities is excluded to the fullest extent permitted by law. This exclusion does not apply to damage
    caused intentionally or by gross negligence, to injury to life, body or health caused by a breach of
    duty by the Organizer, or to liability under mandatory statutory provisions.
    9.5 Services provided by third parties (including the venue, accommodation providers, activity
    providers, transport and catering providers) are rendered under the sole responsibility of those third
    parties; the Organizer is not liable for their performance.
  10. Force Majeure and Cancellation of the Event
    10.1 The Organizer may cancel or postpone the Event if its proper execution becomes impossible or
    unreasonable due to circumstances outside the Organizer’s control, including but not limited to war,
    terrorism, natural disasters, epidemics or pandemics, official orders or travel restrictions, failure of
    essential infrastructure, or an insufficient number of confirmed participants, such that the Event can
    no longer fulfil its purpose.
    10.2 In the event of such a cancellation, the Organizer will inform all Buyers without undue delay.
    Claims of the Buyer — in particular for travel costs already incurred or for lost profit — are excluded
    to the extent permitted by law. Buyers are therefore advised to book travel with flexible or
    refundable conditions until the Event is finally confirmed by the Organizer.
  11. Final Provisions
    11.1 The law of the Federal Republic of Germany applies, excluding the UN Convention on Contracts
    for the International Sale of Goods (CISG).
    11.2 Place of jurisdiction for all disputes arising from or in connection with this contract is Berlin,
    Germany, provided the Buyer is a merchant, a legal entity under public law or a special fund under
    public law, or has no general place of jurisdiction in Germany.
    11.3 Should individual provisions of these Terms be or become invalid, the validity of the remaining
    provisions remains unaffected.
    11.4 Amendments and side agreements must be made in writing; this also applies to a waiver of the
    written form requirement.
